From Feedback to Frontline Power: Building Shared Ownership in the EHR Experience

Improving EHR experience requires intentional listening, shared ownership, visible action, and strong organization–vendor partnership. Northfield Hospital & Clinics used KLAS Arch Collaborative pulse-survey feedback to build a measurable program for engagement, governance, communication, and sustained improvement. An executive-level Expanse experience team brought frontline voices into decisions, while the EHR vendor provided guidance, optimization support, and best practices. Focused improvement sprints aligned frontline staff, operations, IT, and vendor partners around workflow changes. The result was a double-digit increase in staff reporting they have a voice and see action from feedback, shifting EHR improvement from IT-led work to shared responsibility. The session also highlighted governance, transparency, rounding, newsletters, intranet updates, and lock-screen messaging as ways to strengthen engagement and position IT as a trusted improvement partner.
